Position Opening: Development Operations Coordinator

The Friends of the Saint Paul Public Library acts as a catalyst for libraries to strengthen and inspire their communities. An independent, nonprofit organization established in 1945, The Friends invests in the Saint Paul Public Library through fundraising, advocacy, and programming; as a result, our library is a nationally recognized leader in serving its community. The Friends also serves libraries across the country and internationally through its consulting enterprise, Library Strategies, and promotes literacy, reading, and libraries statewide as the Library of Congress’s designated Minnesota Center for the Book. We are a staff of 16 full- and part-time individuals, committed to advancing equity through all our work, practicing inclusion, and reflecting the strength of Saint Paul’s diversity.

Reporting to the Sr. Director of Development, this position is responsible for ensuring that the technical infrastructure for the many fundraising channels and campaigns at The Friends is strong, innovative, and current. This role will manage the Raiser’s Edge donor database. They will ensure data hygiene and accuracy; support other members of the team with actionable data; and fill a key role in relationship management by ensuring data accuracy. This is a 0.8 FTE non-exempt position working Monday through Thursday each week.
- Manage the donor database to ensure complete recordkeeping and database hygiene.
- Ensure data integrity and accurate constituent records.
- Utilize Raiser’s Edge fundraising software in a manner that respects the privacy and confidentiality of donor information.
- Maintain comprehensive operating procedures and documentation related to areas of responsibility.
- Train new employees on Raiser’s Edge.
Program Tracking and Systems Management
- Prepare regular reports that measure the development department’s progress toward goals.
- Generate lists for informational mailings, invitations, solicitations, etc.
- Set up and manage online giving forms.
- Assist with portfolio creation and maintenance.
- Support prospect research.
- Create and manage the database infrastructure for events, including ticketing, registrations, and sponsorships.
- Assist with donor stewardship through correspondence and supporting Friends’ events through onsite participation.
- Create and implement processes to assist smooth functioning of the team.
Financial and Systems Administration
- Manage the process for sending year-end giving statements.
- Serve as backup to the Accounting and Development Assistant for:
- gift entry;
- weekly acknowledgement process;
- pledge reminders;
- Serve as a member of The Friends’ development team to achieve the Goals and live the Values outlined in the Strategic Plan. This includes a commitment to the principles of Community Centric Fundraising.
- Participate as a member of the development team in the creation of the department’s annual fundraising work plan to ensure critical fundraising processes are carried out in a timely, efficient manner.
- Actively and authentically participate in Friends’ Diversity, Equity, and Inclusion initiatives.
- Other duties as requested.
The ideal candidate for this position is a critical thinker who is adept at and passionate about using data and systems to inform decisions. Requirements for the role include:
- Experience with Raiser’s Edge software (Blackbaud).
- Project Management experience.
- High school diploma, GED, or equivalent education.
- Proficiency with Microsoft Office, including Word, Excel, Teams, and Outlook.
- Comfort with video meetings through Teams and Zoom.
- Strong problem-solving skills.
- Commitment to protecting and maintaining confidential information and sensitive data.
- Extraordinary attention to detail, including exceptional English language proofreading skills.
- A customer service mindset that focuses on creating value, loyalty and trust among both colleagues and contributors to The Friends.
- A strong sense of personal responsibility and integrity.
The salary for this 0.8 FTE position (four days per week) is $40,000 ($24.04 per hour). This position is eligible for full benefits, including generous paid vacation, holiday, and sick leave; medical and dental coverage; access to flexible health spending accounts; supportive paid leave policies; long-term disability and life insurance; and access to a 403(b)-retirement account. This position offers a hybrid schedule that utilizes both private and office work environments. The Friends offices are housed in a space that is ADA compliant. Qualified candidates must be able to remain in a stationary position at least 50% of the time; the person in this position must be able to operate a computer keyboard and other office machinery, such as a copy machine, printer, and telephone.
